Privacy notice

Yardz helps everyone involved in buying or selling a home (buyers, sellers, estate agents, conveyancers, mortgage brokers and surveyors) see the same picture of a move. This notice explains what personal data we hold, why, who we share it with and your rights. We've kept it in plain English.

Who we are

Yardz is run by [Legal entity name], company number [Company number], registered at [Registered office address]. We are the controller of the personal data described here and are registered with the Information Commissioner's Office (registration [ICO registration number]). What we collect

  • Your account: name, email address, phone number (if you give it), your password (stored only as a secure hash) and your sign-in settings, such as two-step sign-in.
  • Your moves: the property address, price, tenure, how the purchase is funded, who is involved, the tasks and stages, dates you can't move, notes and documents you upload (such as a memorandum of sale).
  • Messages: what you send through Yardz, including to our support team, and emails sent or copied to a move's Yardz address.
  • Professionals: your firm, job title, professional registrations (for example Companies House, SRA, CLC or FCA numbers) and the results of identity checks.
  • Reviews: reviews you write or receive, how your participation in the move was verified, and any dispute about a review.
  • Technical data: sign-in records, your IP address and device information, and the notification permissions you give. We use these to keep accounts secure and to detect fake reviews.
  • Optional information: whether you're a first-time buyer and, only if you choose to tell us, your age band. We never ask about ethnicity, health or religion.

Why we use it, and our lawful basis

  • To run Yardz for you (contract): your account, your moves, tasks, reminders, messages and the notifications you've asked for.
  • To keep everyone safe (legitimate interests and legal obligations): verifying firms and professionals, preventing fraud and fake reviews, securing accounts and keeping records we're required to keep.
  • To run fair reviews (legitimate interests): checking a reviewer really was part of the move, calculating scores and handling disputes.
  • To improve Yardz and understand the market (legitimate interests): we study how long moves take and why they fall through, using information that doesn't identify you.
  • Optional information (consent): you can withdraw it at any time in your settings.

We don't sell your personal data, and we don't use it to show you adverts.

Who can see what

People on your move see what they need to work on it. Other households in your chain only see how many links there are, each link's stage and whether it has stalled: never names, prices, addresses or professionals. Your contact details are only shown to others on your move under the rules set out in the app. Mortgage details stay private: others see milestones only, unless you choose to share more.

Who we share it with

  • The other people and professionals on your move, as described above.
  • Service providers who run parts of Yardz for us, under contract: Supabase (database and sign-in, hosted in the EU), Vercel (web hosting), Resend (sending and receiving email) and Microsoft (our staff email).
  • Companies House, to look up firms.
  • Regulators, the police or courts, where the law requires it.

Some of these providers may process data outside the UK. Where they do, we rely on the UK's adequacy regulations or the International Data Transfer Agreement or Addendum to keep it protected.

How long we keep it

We keep a move's records for six years after it completes or falls through, because that's how long claims about it can be brought. We keep your account while you use Yardz. If you close it, we delete or anonymise your personal data within 90 days, apart from what we must keep for the move records above or for legal reasons. Security logs are kept for 12 months. Reviews stay published under our review policy.

Your rights

You can ask us for a copy of your data, to correct it, to delete it, to restrict or object to how we use it, and to move it to another service. Email hello@yardz.co.uk. We'll reply within one month. Notes that professionals or our team write about a move may be disclosed to you if you ask for your data.

If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk. We'd appreciate the chance to put it right first.

Changes

If we change this notice in a way that matters, we'll tell you in the app or by email first.
